PURPOSE :

Provide both clerical and administrative support to the MD, either as part of a team or individually. involved in Coordination and implementation of office procedures and frequently have responsibility for specific projects and tasks and, in some cases, oversee and supervise the work of junior staff.

JOB DESCRIPTION:

Answer telephones and give information to callers, take messages, or transfer calls.Arrange conferences, meetings, and travel reservations for Managing Director.Complete forms in accordance with company procedures.Compose, type, and distribute meeting notes, routine correspondence, and reports on behalf of the Managing DirectorGreet visitors and callers, handle their inquiries, and direct them to Director’s office according to their needs.Locate and attach appropriate files to incoming correspondence requiring replies.Arrange Director’s mails, newsletters, promotional material, and other information.Maintain scheduling and event calendars on behalf of Managing Director.Make copies of correspondence and other printed material.Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters.Schedule and confirm appointments for clients, customers, or supervisors.Set up and maintain paper and electronic filing systems for records, correspondence, and other materials.

EXPERIENCE:

Relevant Secretarial training or qualificationMinimum of 5-8 years experience in similar roleKnowledge and experience of relevant software applications – spreadsheets, word processing etc.Knowledge of administrative and clerical proceduresKnowledge of business principlesProven experience of producing correspondence and documentsJob Categories: ICT Recruitment in Nigeria.
